Privacy Policy - VCH Vitals iOS App

VetCardioHub (“we”, “us”, or “our”) respects your privacy. This policy explains what personal data we collect, how we use it, and the rights you have under data-protection laws including the UK GDPR and EU GDPR. It covers both our website / mailing list and the VCH Vitals app.

1. The VCH Vitals app

Data you enter into VCH Vitals — patient profiles, resting respiratory rates, medications, activity, cough, syncope, staging and other clinical logs — is stored only on your own device by the app. It is never transmitted to, collected by, or accessible to us, and it is not held on any server we operate.

  • Because this data never leaves your device, we cannot see it, recover it, or restore it for you.
  • Deleting the app, or losing, resetting or replacing your device, will permanently and irrecoverably delete your records (except to the extent they are captured in your device’s own encrypted backups). You are responsible for keeping backups using the app’s export / backup tools.
  • Where you record another person’s details (for example an owner’s name), you act as the controller of that information and are responsible for handling it lawfully.

If we ever introduce a feature that transmits or stores your tracker data off your device, we will update this policy and tell you before you use it.

2. Reference-data downloads

To keep the built-in dosing, vaccine and anti-parasitic reference lists current, the app periodically downloads a reference-data file from vetcardiohub.com. This request:

  • sends us no personal or clinical data about you or your animal;
  • is used only to update the reference lists shown in the app; and
  • is not used to track you. If it is unavailable, the app keeps working from its bundled copy.

3. Information we collect (website & mailing list)

Separately from the app, when you interact with our website we may collect:

  • Email address — when you sign up to receive our Dog Murmur Action Plan, tutorial emails, or other updates.
  • Optional details — if you provide information such as your pet’s type or ACVIM stage.
  • Technical information — Brevo (our email provider) records your IP address, browser type, and the date/time of signup for security and consent records.

We do not knowingly collect personal data from anyone under 16.

4. How we use your information

  • Send you the Dog Murmur Action Plan/Cat Murmur Action Plab you requested.
  • Deliver a short series of follow-up emails to help you use the guide.
  • Send occasional updates or new resources only if you have given consent (by ticking the optional checkbox on the signup form).
  • Maintain accurate subscriber records and comply with legal obligations.

Under data-protection law, we rely on:

  • Consent — when you opt in to receive updates or newsletters.
  • Legitimate interest / performance of your request — to send the resource and follow-up tutorial emails you specifically asked for.

6. Sharing your information

We use trusted third-party services to operate our website and email list:

  • Brevo (Sendinblue) — email marketing and automation platform.
  • Cloudflare — website hosting and security provider.

These providers act as our data processors and only process your information on our instructions. We do not sell or trade your personal data. These services relate to the website and mailing list only — your app tracker data, as described in section 1, is never shared because it never leaves your device.

7. Data retention

We keep your email address for as long as you remain subscribed or until you ask us to delete it. Unsubscribing from emails will stop all future messages, but Brevo may retain minimal records to demonstrate compliance with legal obligations. Tracker data is retained only on your own device, under your control, for as long as you choose to keep it.

8. Your rights

You have the right to:

  • Access the personal data we hold about you.
  • Request correction or deletion of your data.
  • Withdraw consent at any time (unsubscribe link in every email).
  • Request a copy of your data in a portable format.
  • Lodge a complaint with a supervisory authority — in the UK, the Information Commissioner’s Office (ICO) at ico.org.uk, or your local data-protection authority if you are elsewhere.

9. International data transfers

Brevo’s servers may be located outside the UK/EU. Where data is transferred internationally, appropriate safeguards (such as adequacy decisions or Standard Contractual Clauses) are applied to protect it.

10. On-device storage

VCH Vitals uses your device’s own storage to save your records on the device. This is strictly necessary for the app to function, does not track you, and transmits nothing to us — so it does not require consent. The app does not use advertising identifiers or analytics tracking. (Our website may use essential and analytics cookies via Cloudflare and our email platform; those are used only to keep the site secure and functioning, and are separate from the app.)

11. Security

For our website and mailing systems, we use encryption and secure, reputable providers to protect data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. Your app tracker data is not transmitted at all — its security depends on the security of your own device.

12. Changes to this policy

We may update this privacy policy from time to time. Any changes will be posted with a revised “last updated” date.
